How to Compare Managed IT Pricing Fairly
Comparing two proposals side by side is harder than it looks, because providers rarely draw the boundary in the same place. A lower monthly figure that excludes projects, after-hours work, and third-party licensing is not actually lower. These are the questions that make a pricing comparison meaningful.

What counts as a seat, and what counts as a device?
Per-user pricing and per-device pricing behave very differently once your team has laptops, desktops, and phones. Ask which model applies, what happens when someone has three devices, and whether servers and network equipment are counted separately.
Which work sits outside the monthly fee?
Most agreements carve out something. Migrations, office moves, new site builds, and hardware procurement are common exclusions, and that is reasonable as long as it is written down. Vague pricing is the problem, not the existence of project work. Ask for an example of a recent project quote so you can see how those numbers are built.
Is third-party licensing included or passed through?
Microsoft 365, endpoint protection, and backup storage are real costs that have to sit somewhere. Pricing that bundles them is easier to budget; pricing that passes them through is more transparent about increases. Either can work, but you need to know which one you are signing.
What is guaranteed in writing?
Response targets, coverage hours, and escalation paths belong in the agreement rather than in a conversation. Ask what happens if a target is missed. The NIST Small Business Cybersecurity Corner is a useful reference for the security controls you should expect to be inside the base pricing rather than sold as an upgrade.
How do increases work?
Ask how often pricing is reviewed, what triggers a change, and how much notice you get. A provider with a clear answer is easier to budget around than one offering an unusually low first-year figure.
