How We Scope Microsoft 365 Projects & Migrations

Almost every difficult migration we have inherited went wrong in the same place: nobody agreed in advance what “done” meant. Mailboxes moved but shared calendars broke. Files copied but permissions flattened. The cutover technically succeeded and the help desk was buried for three weeks.

Inventory first, cutover last

Before a date goes on a calendar we want a list: mailbox sizes, shared mailboxes and delegates, distribution groups, public folders if they still exist, file shares with their permission structure, and every application that authenticates against your directory. That last item is where surprises live. Well-planned Microsoft 365 Projects & Migrations spend more time in discovery than in cutover, and the cutover is duller as a result.

Agree the success criteria in writing

Decide up front what has to be true the morning after: which mail history must be searchable, whether legacy permissions are recreated or rebuilt deliberately, how mobile devices re-enroll, and who signs off. Then pilot with a small group that includes at least one person who uses the system in an unusual way.
